What Happens When a Tenant Calls at 2 a.m.?
Oct 21, 2026 · @Travis Haines
It's 2 a.m. in January. The temperature outside is well below zero, and your tenant's furnace just quit. Or a pipe burst under the kitchen sink and water is spreading across the floor.
If you self-manage, that call comes to your phone. You're the one getting out of bed, trying to find a plumber or HVAC tech who'll answer at that hour, and worrying about how much damage is happening while you wait.
When Candlewood manages your property, that call comes to us. Here's what happens behind the scenes, and why it matters for your investment.
Emergency, or can it wait?
Not every late-night call is an emergency, and treating them all the same way would get expensive fast. The first thing we do is figure out how urgent the problem really is.
Needs action now | Can wait until business hours |
No heat in winter | A dripping faucet |
Burst pipe or major water leak | A slow drain |
Sewer backup | A burned-out light bulb |
Gas smell or carbon monoxide alarm | A sticking door or window |
Electrical hazard, sparking, or total power loss | An appliance acting up but still working |
Exterior door or window that won't lock | Minor cosmetic damage |
The test is simple: is there a risk to someone's safety, or a risk of serious damage to your property if we wait? If the answer is yes, it gets handled right away. If not, it's logged and scheduled for the next business day, so you're not paying after-hours rates for a problem that can wait a few hours.
From the call to the fix
When a true emergency comes in, here's how it plays out.
- The tenant reaches us. Tenants have a clear way to report an emergency at any hour, so they're not left guessing who to call.
- We triage the problem. We ask the right questions to understand what's happening and how serious it is.
- We help the tenant limit the damage. Often the most important step happens on the phone: walking the tenant through shutting off the water main, turning off a breaker, or getting out of the unit and calling 911 if there's a gas or fire risk.
- We dispatch the right help. Through our sister company, Pinnacle Repair & Remodeling, and a network of trusted plumbers, HVAC techs, and electricians, we get someone moving on the problem.
- We stabilize first, then repair. The goal overnight is to make the home safe and stop the damage. Permanent repairs can then be scheduled properly, often at a lower cost than an emergency rush job.
- We document everything. The issue, the response, and costs are recorded so you have a clear picture, and so any insurance claim is easier.
- We keep you informed. For minor issues that we can fix, that just gets handled and owners will see that with their monthly statements. For larger items or insurance claims, you'll hear from us about what happened and what was done. For major issues or big expenses, we'll talk with you before moving forward on permanent repairs.
Why this matters for you
A fast, organized emergency response protects more than your sleep.
- Less damage, lower costs. A leak caught in minutes is a repair. A leak that runs until morning can mean new flooring, drywall, and an insurance claim.
- Protection from frozen pipes. In a Wisconsin winter, a dead furnace can turn into burst pipes in a matter of hours. Quick action makes all the difference.
- Happier tenants who stay longer. Tenants remember how you handled their worst night in the home. A quick, caring response builds trust, and trusted tenants renew.
- Fewer surprises. Because we separate true emergencies from issues that can wait, you avoid paying after-hours rates for problems that didn't need them.
- Real peace of mind. You can travel, sleep, or focus on your day job knowing someone is handling it.
